Academic Transcript (not valid without diploma)

An academic transcript is a certified record of your full enrolment history at UNSW, including all courses attempted, results received and awards conferred. It cannot be altered or separated, e.g. between undergraduate and postgraduate degrees.

Currently enrolled students will not necessarily need an official academic transcript – your academic record and results are available for viewing at any time on myUNSW.

Please be aware that if you provide falsified documents to external agencies which misrepresent your qualifications from UNSW, then this could result in one of a range of penalties, from failure in the course or suspension (where applicable), exclusion and/or the matter may be reported to ICAC.

Please also be aware that the University will not release any official documents, including transcripts whilst your student account is blocked. Student accounts can be blocked for a variety of reasons including, but not limited to, overdue debts and Student Misconduct investigations.

As a student, you must be aware of your obligations and responsibilities under the Student Code.

You can order copies of your Academic Transcript online via myUNSW.

To use the service you must have:

  1. Current access to myUNSW, and
  2. A credit card to make the purchase.

If you do not have myUNSW access you need to follow the former student procedure outlined below.

Both Fast and Standard service are available online. Comprehensive information and instructions are on the request site, as you proceed with your order.

Fast service transcripts are available to all students enrolled since 1992. Some exclusions apply. Further details can be found below.

  • Fast service transcripts are not available to students enrolled in programs at the Australian Graduate School of Management (AGSM) in 2008 or prior. Please use the standard transcript request form for these requests (below).
  • Fast transcripts are issued as your record stands on the day of request. Please check your myUNSW student record and ensure all your information is correct before you submit your request. This includes making sure all your results are finalised and visible on myUNSW; and if you have recently completed your program, that your graduation status is 'Awarded'.
  • Academic transcripts cannot be issued to any student who has outstanding debts with the university. Debts include all blocks including fees, library fines and equipment and other negative service indicators.

Fast Service transcripts must be collected from The Nucleus: Student Hub – they will not be mailed to you. A minimum of two copies of your transcript are issued per request

  1. Complete the application form providing your personal details, program details and completing an online payment of $38.

  2. Wait for a Ready to Collect notification then collect your transcript in person at The Nucleus: Student Hub.
  3. You will need to present photo ID when collecting your transcript.

Collection times

  • Application submitted before 2pm will be available for collection after 4pm on the same day.
  • Applications submitted after 2pm will be available for collection after 10am on the next working day.

Standard service requests take approximately 5 days to process. Please allow additional time during major assessment periods (July and December), or if you were enrolled in or before 1968 and have not recently requested a transcript.

If you have a debt with the university an academic transcript cannot be issued to you.

Delivery Times for Standard Australia Post can be up to:

  • Australian Metropolitan Areas – 10 working days
  • Australian Regional Areas – 15 working days
  • Overseas Areas – 30 working days

These delivery times should be taken into consideration when choosing a delivery option and before contacting us about delays. These timelines do not include the processing time.

If you have additional request details, e.g. if an overseas institution requires your transcripts to be in separate signed, sealed envelopes, please note these instructions clearly in the comments section.

Proof of Identity

To enable the University to fulfil its obligations under the Privacy and Personal Information Protection Act (NSW) 1998, you must submit a copy of your driver's license, passport or birth certificate.

Your request cannot be processed until you provide this.

If you do not have a current driver's license or a passport, you will need to provide copies of the equivalent of 100 points of ID such as medicare card, bankcard, student identity card, electricity bill etc.

If you have changed your name since you studied at UNSW, you will also need to provide evidence of this by providing either a copy of your marriage certificate, official change of name certificate or a copy of other relevant documentation.

There is no charge for transcripts being sent directly to another Australian University or College of TAFE. (NOTE: This does not include Private Colleges, Associations or Registration Boards.

) To arrange for your transcript to be sent directly to another Australian University or College of TAFE you need to include the information listed below in your online application.

  • Name of the contact person
  • The program for which you are enrolling
  • Your application number
  • Your student ID from that institution (if you have one)

The costs of copies are as follows:

Fast Service: $38 – two copies

Standard transcript request:

  • $38 for the first two copies
  • $15 for each additional copy.

Payment

  • Payment can be made by credit card (Visa or MasterCard ONLY) online or EFTPOS in person at Student Central
  • Personal cheques or cash cannot be accepted.

Academic transcript request if you have outstanding debts with the University

Applications for academic transcripts cannot be processed if you have an outstanding debt to the University. Debts include all fees, loans, library fines, housing blocks, Art & Design blocks, ATAX blocks and equipment. Student Administration will contact you if you have a debt. You will need to clear this debt before your academic transcript can be released.

Transcripts are normally sent via regular Australia Post domestic and airmail services. Official Academic Transcripts cannot be emailed.

For an additional fee transcripts can be sent internationally via TNT couriers, or Express Post within Australia.

NOTE: TNT Courier Delivery

Experience has shown that regular airmail to addresses in North America and South-East Asia can take up to 30 working days to arrive. The only service that can guarantee delivery within a reasonable time frame is TNT couriers.

Additional fees for TNT vary depending on the country that the package is being sent to (see above table).

TNT have advised that they cannot deliver to overseas post box addresses, and require a specific person be nominated to receive the package.

If you are requesting delivery by TNT you must include in your request the:

  • Name
  • Address
  • Contact telephone number and
  • Email address or fax number

of the person you are nominating to take delivery of your transcript.

Electronic versions of the UNSW Handbooks and Calendars from 1957 onwards are available from www.handbook.unsw.edu.au. Copies of all Handbooks and Calendars are also kept in the UNSW Library.

Academic Transcript (not valid without diploma)

A transcript is an official summary of your academic performance and progress to date. It will only include final marks confirmed by the appropriate Examination Board. A transcript may be required by prospective employers or educational institutions to which you are applying.

Receiving your transcript

You will automatically receive one paper copy of your final transcript upon completing your degree. This will be sent to the 'home address' listed in Student Self Service. Electronic copies of transcripts (final and on-course) are not available.

We are unable to produce transcripts for the following students:

Students who commenced their studies prior to Michaelmas term 2007Contact your college or PPH.
Postgraduate Research students (eg DPhil)If you have completed your degree, you may order a degree confirmation letter. If you are yet to complete your research degree, contact your college, PPH or department for proof of study.

Ordering copies of final transcripts

You can order additional copies of your final transcript at a cost of £12 each through the University online shop.

Transcripts ordered for delivery to the UK will be sent by Royal Mail first class post, orders for overseas locations will be sent by a tracked and signed for courier service at a cost of £15 for European addresses and £20 for rest of world. You may also choose to collect your order from the Examination Schools in Oxford.

If you are expecting examination results, please wait until you receive your results in Student Self Service before requesting extra copies of a final transcript. Requests placed before your results are released may not include your final results.

Applications for transcripts must be made by you. Requests for copies of the transcript by a third party will not be actioned.

If you are required to provide a form (i.e. WES) after placing an order send your form to documents@admin.ox.ac.uk quoting your order number.

Ordering on-course transcripts

If you haven't yet completed your course, you can request copies of your on-course transcript. This will show your academic achievement to date but will not include a final classification.

An on-course transcript will reflect the information you see in Student Self Service and is only available once you are entered for an assessment.

If your assessments have not yet appeared in Student Self Service and you are still studying at the University, the enrolment certificate available through Student Self Service will act as a certification of attendance.

On-course transcripts can be ordered at a cost of £12 each online at the University online shop.

Collecting your transcripts

If you have chosen to collect your transcripts, we will notify you by email when they are available. If you would someone to collect the transcripts on your behalf, please email Degree Conferrals with the name of the person. Photographic identification is required to ensure we release the documents to the correct person.

Diploma supplement

If you are applying for a course in a European university, most institutions will ask you to supply an academic transcript. However, some institutions may ask you to provide a diploma supplement.

This document consists of the academic transcript, a statement quantifying your course in terms of European Credit Transfer Scheme (ECTS) credits, plus additional information describing the higher education system.

There are two credit systems: that used by UK universities; and the ECTS used by a number of other European countries.

We take each year of full-time undergraduate study to equal 120 UK credits and 180 UK credits for postgraduate study according to the Higher Education Credit Framework for England.

In relation to the ECTS, this is equivalent to 60 credits for undergraduate study and 60-90 credits for postgraduate study. The University’s courses are not taught on a modular basis so we do not apply credit weightings to the individual components of your course.

Before ordering the diploma supplement check that this is a requirement for your application and that we are able to produce them for your award. If we are unable to produce transcripts for your award, we will not be able to produce diploma supplements for that award.

If you require a diploma supplement, they can be ordered through the University online shop for free.

Diploma supplements ordered for delivery to the UK will be sent by Royal Mail first class post, orders for overseas locations will be sent by a tracked and signed for courier service at a cost of £15 for European addresses and £20 for rest of world.

The supplement is available only to students who commenced their studies from Michaelmas term 2007, and who have successfully completed their studies.

Academic Transcript (not valid without diploma)

A transcript is your academic history.  It lists the titles and marks of the modules you studied in each academic year.  It gives your period of registration as a student, your degree award date and your degree classification. You may need your transcript for employment, further education or immigration purposes.

* For older awards, the University is unable to guarantee that a complete set of module and mark data has been retained.

Unofficial Academic Transcripts

Students can print an unofficial copy of their transcript at any point during their registration. This facility is available at any time from Liverpool Life.

Please note that it is unly that an employer, educational institution or immigration agency will accept a transcript in this format as supporting documentation.

Official Academic Interim Transcripts 

Official University interim transcripts (transcripts that are available before you graduate) are produced on bespoke paper with enhanced security features. Interim transcripts are not available in the weeks prior to graduation ceremonies as you will receive your e-HEAR electronically one week after you have graduated. 

Transcripts are produced according to strict guidelines set out by NARIC and the Europe Unit of Universities UK.  For these reasons, it is not possible for students to request additional information to be included on their official transcript.

Ordering Official Transcripts 

Official transcripts can be prepared for you at any time. However, if you are due to graduate and order a transcript before the ceremonies take place, it will not include the marks for your final year.

If you are an undergraduate or postgraduate taught student expected to graduate in July 2019 the last date to order transcripts is Monday 3 June 2019. Any orders received after this date will be automatically refunded as all graduates will receive an electronic HEAR. All postgraduate research students will continue to receive a Diploma Supplement at the point of graduation.

There is a charge of twenty pounds sterling (£20.00) for the first copy and five pounds (£5.00) for every additional copy requested at the same time. You can order as many as you need, and they can be sent to any address.

  The fee covers the cost of standard mail/airmail, although you may request your documents to be delivered by DHL courier at a charge of ten pounds (£10.00) for a UK address, fifteen pounds (£15.00) for an EU address and twenty pounds (£20.

00) for the rest of the world per consignment.

Please note the following:

  • For older awards, the University is unable to guarantee that a complete set of module and mark data has been retained in its records.
  • Students who have graduated since July 2016 cannot order an official academic transcript. Any student who has graduated since July 2016 will receive an electronic Higher Education Achievement Report (HEAR) following graduation.  For further information please visit our HEAR web pages. 
  • Those ordering documentation for two separate awards (e.g. a BA and an MA) will need to pay the full charge of £20.00 for each.
  • Your transcript will reflect your registration at the time you place your order.  For example, if you place an order to the start of a new session, your modules for that session may not be included.  If your transcript requires these, you should wait to order your transcript once the new session has commenced.

Your documents will be prepared and dispatched as per your instructions, normally within thirty working days following the placement of the online order. Q. Which credit/debit cards are accepted on the online payment service?

A. The University accepts all major UK credit and debit cards.

Q. Can I order documents if I have owe outstanding fees to the University?

A. If you owe outstanding fees we will not prepare your documents until your account has been cleared.  We will always inform you if there is a problem with your account.

Q. Can my documentation be sent to diffferent addresses if I order more than one copy?

A. Yes. If you require documents to be sent to different addresses, please send a follow-up email requesting this to students@liverpool.ac.uk.

Q. How will my documentation be posted?

A. All documentation will be sent by standard mail/airmail.  You may request for your documents to be sent by DHL courier at a charge of ten pounds (£10.00) for a UK address, fifteen pounds (£15.

An academic record, also known as an academic transcript, is an official statement which displays all of your final subject results achieved through study at UTS as at the date of issuance.

What is included on your record

If you studied at UTS, or at an institution which amalgamated to form UTS, your transcript will include:

  • your legal name,
  • your UTS student number,
  • prizes and awards you have gained at UTS (if applicable),
  • course(s) studied at UTS and institutions which amalgamated to form UTS,
  • a complete listing of all subjects and subject numbers,
  • the grades awarded for each subject,
  • the numerical marks awarded for each subject, if requested and available,
  • credit points achieved for subjects studied from 1993 onwards,
  • your grade point average (GPA), if applicable,
  • a completed status, if you have already graduated from your course. If you have not graduated, your transcript may show a status of active, withdrawn or conferred.

Requesting your academic record (transcript)

UTS provides you with a free digital copy of your academic record (transcript) when you graduate from your course via My eQuals. 

Current students

You can request an academic record (transcript) by submitting an Application for Academic Record (Transcript). 

Academic records (transcripts) can be issued in two formats, digital and printed. An administrative charge is payable when you request an academic record (transcript) in either format.  

You can only select one format with each application. If you wish to receive both a digital and printed academic record, you will need to submit separate applications, for which you will be charged accordingly.

As part of your application, you can select to:

  • display both marks and grades, or grades only,

  • Digital transcripts are issued through My eQuals, an external service provider, see the UTS My eQuals page for more information.
  • For printed transcripts, please allow up to three working days for the document to be available for collection. You can also select to have your document mailed to you directly (including via either local or international courier at an additional charge).

Past students

You can request an academic record (transcript) by submitting an Application for Academic Record (Transcript). 

Academic records (transcripts) can be issued in two formats, digital and printed. An administrative charge is payable when you request an academic record (transcript) in either format.  

You can only select one format with each application. If you wish to receive both a digital and printed academic record, you will need to submit separate applications, for which you will be charged accordingly.

Academic records (transcripts) are available for past students (with the course status of 'passed') of UTS and its antecedent organisations, including:

  • Kuring-gai College of Advanced Education
  • NSW Institute of Technology
  • Sydney College of Advanced Education – ITATE
  • Sydney College of the Arts – School of Design
  • Australian College of Acupuncture
  • William Balmain Teachers College

If you studied at an antecedent organisation, your request will be investigated by the UTS Student Records.

Please note:

  • Digital transcripts are issued through My eQuals, an external service provider, see the UTS My eQuals page for more information.
  • For printed transcripts, please allow up to three working days for the document to be available for collection. You can also select to have your document mailed to you directly (including via either local or international courier at an additional charge).
  • The process will take longer for past students of antecedent organisations. 
  • For past students of Sydney College of the Arts, the records are spread over several institutions, so UTS may not have all records.

Apply for your transcript

Can I get an unofficial copy of my academic record (transcript)? 

Yes. To obtain an unofficial copy of your academic record (transcript), you will need to log in to My Student Admin, and complete the following steps: 

  • select the 'My Exams' menu
  • select the 'My Results' menu
  • select your course and continue to the next page
  • from the 'Results Overview' page, select 'I want to…Email my complete academic record'.

Can I add or delete something from my academic record (transcript)? 

It is not possible to modify your academic record (transcript) in any way, including deleting failed subjects and discontinued courses or adding courses and subjects to years in which they were not studied.

If you receive an academic record that you believe is incorrect, contact your UTS Student Centre to discuss the issue.

Can I have my application fast-tracked? 

No. UTS does not offer a fast-track service, and applications are processed in order of receipt. Delays can sometimes occur at times of peak demand (November-February, July, and Graduations). Outside of peak times, academic transcripts can usually be processed while you wait at a UTS Student Centre.

I am waiting to graduate. Can I get an academic record (transcript) showing that I've completed my course?

It is possible to request an academic record (transcript) in this period, in which your course status will be ‘completed’, however, your academic record will not have 'degree conferred' on it until the award is conferred, upon your graduation ceremony. 

In the gap between completing your course and the conferral date, to show you have completed your course, you can also request a statement of course completion. 

Why do other students' academic records (transcripts) have the signature of the Director of the Student Administration Unit? 

The signature of the Director of the Student Administration Unit was introduced to the academic record in mid-August 2017. 

Can a copy of my academic record (transcript) be sent directly to another institution? 

Yes. Other tertiary institutions and educational organisations can request verification of your academic record from UTS, as long as they have your permission to do so. The requesting institution must post or email the request, (along with a copy of your consent), on their letterhead to:
